This Multiple Project Tracking Template is a free spreadsheet that lets you manage all your projects from one central location. Includes a visual dashboard with bar charts and Gantt chart, automated progress calculations, and organized task management.
- Visual Dashboard: Bar charts and Gantt chart update automatically, giving you a real-time overview of every project’s status.
- Automated Progress Tracking: Enter task completion percentages and the template calculates overall project progress, remaining days, and task breakdowns instantly.
- Multi-Project Task Management: Assign tasks to specific projects, set responsible team members, define start dates and durations — all in one organized sheet.
What’s Inside This Template
This template includes three sheets — Dashboard, Projects, and Tasks — each designed to give you full visibility and control over your project portfolio.
Dashboard Sheet
The Dashboard provides an overview of all your projects with visual charts and a Gantt chart for tracking any selected project.
- Projects Bar Chart: Quick visual overview of progress across all projects.
- Project Selection Dropdown: Select a specific project to view its details.
- Overall Project Progress: View the completion percentage of the selected project.
- Task Completion Breakdown: Tasks categorized by status — Not Started, In Progress, and Completed.
- Gantt Chart: Visual timeline showing all tasks for the selected project.
Projects Sheet
Enter and manage details for all your projects in one table. Aggregated columns update automatically based on your task entries.
- Project Name: Identify each project clearly.
- Tasks: Total number of tasks associated with the project.
- Start / End: Earliest start date and latest end date across all tasks.
- Days: Total estimated days required to complete the project.
- % Progress: Overall completion percentage calculated from individual tasks.
- Remaining: Estimated days until project completion.
Tasks Sheet
Define and manage individual tasks within each project. This is the core data entry sheet that drives the Dashboard and Projects views.
- Project: Assign each task to a project using the dropdown menu.
- Task: Name and describe each task clearly.
- Responsible: Assign ownership to a team member.
- Start Date: Planned start date for the task.
- Days Req.: Estimated number of days to complete the task.
- Progress: Update the completion percentage (0–100%) as work progresses.
Each sheet is connected through Excel formulas — data entered in the Tasks sheet automatically feeds into the Projects sheet and Dashboard.

For individual projects that need deeper planning, use our Project Plan Template to define tasks and Gantt chart timelines, then transfer the summary into this multi-project tracker.
How to Customize This Template
Create a dedicated sheet for each project with goals, stakeholders, and detailed notes. Our Project Charter Template provides a ready-made structure.
Apply colors to differentiate projects, highlight priority tasks, or indicate completion status. Excel’s Conditional Formatting makes this easy.
Set up conditional formatting rules: red for overdue, yellow for in-progress, green for completed. Apply to the Progress column on both Tasks and Projects sheets.
Add columns for budget tracking, risk assessment, or resource allocation as your needs grow.
For complex projects, use a Work Breakdown Structure Template to decompose tasks into subtasks before entering them here.
Methods for Tracking Multiple Projects
The best approach depends on the number of projects, team size, and level of detail you need.
Portfolio Dashboard
What this template uses. All projects in one view with summary metrics. Drill into any project’s tasks and Gantt chart. Best for 5–20 projects.
Separate Sheets per Project
Each project gets its own worksheet with a master summary pulling data. Best for 3–8 complex projects needing individual project plans.
Master Task List
All tasks across all projects in one flat list, tagged by project. Use filters to view by project, person, or deadline. Best for small teams with many small projects. See our Action Items Template.
Gantt Chart Consolidation
All project timelines on a single combined Gantt chart. Shows overlaps and resource conflicts. Use our Gantt Chart Templates or the built-in Gantt on this Dashboard.
| Scenario | Best Method |
|---|---|
| 5–20 projects, need overview | Portfolio Dashboard (this template) |
| 3–8 complex projects, need detail | Separate Sheets per Project |
| Many small projects, small team | Master Task List |
| Need to see timeline conflicts | Gantt Chart Consolidation |
Single Project vs Multiple Project Tracking
• Managing one project with 20+ tasks needing a detailed Gantt chart
• The project requires in-depth resource allocation or budget management
• You need a standalone document for a client or stakeholder
• The project has a dedicated team that doesn’t overlap with others
→ Project Plan Template
• Managing 3+ projects simultaneously and need a portfolio view
• You need to see cross-project deadlines and scheduling conflicts
• One person or team works across multiple projects
• Leadership needs a high-level status report across all active projects
→ Download This Template
Use a Project Plan Template for detailed planning of each project, then feed the summary data into this multi-project tracker for the portfolio view. Start each project with a Project Charter, break it down with a WBS Template, build the detailed plan, then track everything at the portfolio level here.
Excel Tips for Multi-Project Tracking
The Tasks sheet uses a dropdown to assign tasks to projects. To add new projects, update the source list in the Projects sheet first. Data → Data Validation → Allow: List. Excel Features guide.
Create a summary row totaling tasks, days, or progress across all projects using =SUMIFS(). See our Formulas and Functions reference.
Color-code progress: red for 0%, yellow for 1–50%, light green for 51–99%, solid green for 100%. Apply to both Tasks and Projects sheets.
Shortcuts: Ctrl+D fills down, Ctrl+; inserts today’s date, Tab moves to next cell. Small time-savers that add up across dozens of tasks.
For 15+ projects: View → Freeze Panes. Keep headers visible while scrolling. Worksheet guide.
Use Excel Macros to generate weekly status reports, archive completed projects, or send email reminders for overdue tasks.
Common Mistakes When Tracking Multiple Projects
- Not updating regularly: Set a recurring time (weekly or bi-weekly) to update all project progress. Stale data leads to bad decisions.
- Tracking too much detail: Keep detailed task breakdowns in individual project plans. Use this tracker for summaries.
- No clear ownership: “Marketing team” isn’t accountable — assign a specific name to every task.
- Ignoring cross-project dependencies: Use the Gantt chart view to spot overlapping timelines and resource conflicts.
- Not defining “done”: Define acceptance criteria in your project charter.
- Using one file for everything: Create separate files for detailed planning (WBS, Schedule). Feed summaries back here.
